How to Schedule WhatsApp Messages on WhatsApp Web and Desktop
Published on May 4, 2026

Use a dedicated app that syncs everywhere
The best workflow is to use a scheduling app on your phone that handles delivery in the
cloud, then continue using WhatsApp Web for live chats. With Chatmaid Schedule, you
schedule messages once on iPhone or Android and they send automatically — even if your
computer is off, you’re traveling, or you’re in a meeting with no internet.
Here’s the workflow:
1. Install Chatmaid Schedule on your phone (iOS or Android).
2. Schedule your messages from the app — pick the contact, write the message, set the
time.
3. Continue using WhatsApp Web for any live conversations.
4. Scheduled messages send automatically from our cloud at the time you set, and they
appear in WhatsApp Web’s chat history just like messages you typed yourself.
This is the workflow most sales and support teams end up with: live chats on the desktop
for speed, scheduled messages from the phone app for everything that goes out at a
specific time.
What about Apple Shortcuts on Mac?
If you’re on a Mac, the Shortcuts app exists there too — but it can’t send WhatsApp
messages from the desktop. WhatsApp’s Mac app doesn’t expose the actions Shortcuts
needs. The same limitation applies on Windows. For now, all programmatic scheduling has
to happen on your phone or through the cloud.
What you can’t do (yet) from WhatsApp Web
Even with a scheduling app, there are still some things you can only do from your phone:
Initial WhatsApp connection — you have to scan a QR code from your phone to link the
scheduler.
Voice notes — these have to be recorded on the phone.
Some media types — large videos and certain document formats are easier to attach
from the phone.
For everything else — text, images, links, scheduled times, recurring schedules, multiple
contacts — the phone-based scheduler handles it and you can keep using WhatsApp Web
for the live conversation that comes after.
Start using WhatsApp Web with cloud scheduling
Download Chatmaid Schedule on your phone, set up your scheduled messages, and keep
using WhatsApp Web for everything live. Your scheduled messages will appear in your
WhatsApp Web chats automatically when they send.
